Time Card Calculator
Enter clock-in and clock-out times for up to seven days. The calculator subtracts unpaid breaks, handles overnight shifts, totals decimal hours and estimates regular time, overtime and gross pay using your editable assumptions.
A clock-out time earlier than clock-in is treated as an overnight shift ending the next day. Payroll, rounding, meal-break and overtime rules vary by employer and jurisdiction; replace the example threshold and multiplier with the rules that apply to you.
How to use the time card calculator
- Enter clock-in and clock-out times for each worked day using the 24-hour time fields.
- Enter only unpaid break minutes. Paid breaks remain part of worked time.
- Set the weekly threshold, hourly rate and overtime multiplier used for your estimate.
- Select Calculate time card and review daily, regular, overtime and pay totals.
Formulas
Daily worked minutes = clock-out − clock-in − unpaid break. If clock-out is earlier than clock-in, 1,440 minutes are added for an overnight shift. Total decimal hours = sum of daily worked minutes ÷ 60. Regular hours = minimum of total hours and the entered threshold. Overtime hours = maximum of zero and total hours − threshold. Estimated gross pay = regular hours × hourly rate + overtime hours × hourly rate × multiplier.
Checked example
Five shifts from 08:00 to 17:00 with a 30-minute unpaid break equal 8.5 hours per day and 42.5 hours for the week. With a 40-hour threshold, the result is 40 regular hours and 2.5 overtime hours. At 20 per hour and a 1.5 multiplier, estimated gross pay is 875.
Six verified scenarios
| Schedule | Breaks | Result |
|---|---|---|
| 08:00–17:00, one day | 30 min | 8 h 30 min = 8.50 decimal hours |
| 08:00–17:00, five days | 30 min/day | 42.50 total hours |
| 22:00–06:00 overnight | 30 min | 7 h 30 min = 7.50 hours |
| 09:15–17:45 | 45 min | 7 h 45 min = 7.75 hours |
| Four 10-hour net shifts | Already deducted | 40 regular hours, 0 overtime at a 40-hour threshold |
| 45 total hours at 20/hour | Threshold 40; multiplier 1.5 | 800 regular + 150 overtime = 950 gross pay |
Limits and payroll cautions
This tool totals one in/out pair per day and assumes every entered break is unpaid. It does not apply automatic rounding, split shifts, premiums, taxes, deductions, double time, daily overtime or jurisdiction-specific rules. It is an arithmetic estimate, not a payroll record or legal determination. Compare the result with your employer's official timekeeping system.
Frequently asked questions
Can it calculate an overnight shift?
Yes. When clock-out is earlier than clock-in, the calculator treats clock-out as occurring the next day.
Why are hours shown as decimals?
Decimal hours are convenient for pay calculations. For example, 7 hours 45 minutes equals 7.75 hours because 45 ÷ 60 = 0.75.
Does the calculator decide when overtime applies?
No. You enter the threshold and multiplier. Eligibility and calculation rules can differ by employer, contract and jurisdiction.
