Employer cost estimate
Employee cost formula
For a salaried employee, annual base wages are the entered salary. For an hourly employee, base wages equal hourly rate × paid hours per week × paid weeks per year.
Total annual employer cost = base wages + wage-based employer costs + annual benefits + other fixed annual costs.
Wage-based employer costs equal base wages multiplied by the combined rates you enter. Labor burden is every modeled cost above base wages. The burden rate is labor burden ÷ base wages × 100. Cost per productive hour is total annual employer cost divided by productive hours.

| Inputs | Calculation | Result |
|---|---|---|
| Salary $65,000; percentage costs 9%; benefits $12,000; fixed costs $2,000; 1,680 productive hours | $65,000 + $5,850 + $12,000 + $2,000 | $84,850 total; $19,850 burden; 30.54% burden rate; $50.51/productive hour |
| $30/hour; 40 paid hours/week; 52 weeks; percentage costs 10%; benefits $10,000; fixed costs $1,500 | $62,400 wages + $6,240 + $10,000 + $1,500 | $80,140 annual cost per employee |
| $50,000 salary; no burden inputs; 2,000 productive hours; 3 employees | $50,000 × 3 | $50,000 per employee; $25/productive hour; $150,000 team total |
What to include in labor burden
Possible inputs include employer payroll taxes, mandatory contributions, workers’ compensation, health insurance, retirement contributions, paid leave already embedded in salary, bonuses, equipment, software, recruiting, training and workspace. Avoid counting the same cost twice. For example, do not add paid leave again when annual salary already includes paid time unless you are measuring replacement or lost productive capacity separately.
Important: this calculator uses rates and amounts supplied by the user. It does not determine taxes, statutory contributions, benefits eligibility, workers’ compensation classifications, overtime rules or legal employment status.
Limits and assumptions
- Currency selection changes formatting only; all monetary inputs must use one currency.
- Annual wages and total modeled cost per employee cannot exceed 1,000,000,000.
- Each percentage field accepts 0% through 100%; the combined rate may therefore exceed 100% if that is the scenario entered.
- Hourly mode accepts up to 168 paid hours per week and 53 paid weeks per year.
- Productive hours must be an integer from 1 through 8,784; headcount must be an integer from 1 through 100,000.
- The model assumes each employee in the selected headcount has identical costs.
Frequently asked questions
What is fully loaded employee cost?
It is base pay plus employer-paid costs such as payroll charges, benefits and operating costs attributed to the employee. Definitions vary, so the tool shows the components instead of assuming a universal percentage.
Is labor burden the same as payroll tax?
No. Payroll tax can be one component. Labor burden can also include insurance, benefits, equipment, training and other employer costs.
Why use productive hours instead of paid hours?
Cost per productive hour is useful for pricing or staffing because paid time may include holidays, leave, training and non-billable work. Enter a productive-hours estimate suited to the decision.
Can I compare an employee with a contractor?
The result can be one input to a comparison, but worker classification, risk, supervision, tools, insurance, taxes and contract terms require separate analysis. This page does not determine legal classification.
Does it calculate costs for a specific state or country?
No. Enter the effective rates and costs that apply to your scenario. Location-specific calculators would require separate statutory rules and current data.
