- Total distance = distance per trip × number of trips.
- Reimbursable distance = (distance per trip − excluded distance per trip) × number of trips.
- Mileage reimbursement = reimbursable distance × entered rate.
- Gross reimbursement = mileage reimbursement + eligible tolls + eligible parking + other eligible expenses.
- Amount due = gross reimbursement − advance already paid.
The calculator keeps the currency generic because reimbursement may be paid in different currencies. Enter every monetary value in the same currency.

How to use the calculator
- Choose miles or kilometers and enter either total trip distance or two odometer readings.
- Enter the number of identical trips. Exclude commuting or personal distance only when your reimbursement policy requires it.
- Replace the sample rate with the exact rate authorized for the trip date and purpose.
- Add tolls, parking or other expenses only when the policy reimburses them separately.
- Enter any advance already received to calculate the remaining amount due.
Rate sources and important limits
Rates can change by year, purpose, employer, agency, jurisdiction and vehicle arrangement. Check the IRS standard mileage rates for US federal tax information and the GSA privately owned vehicle mileage rates for applicable federal travel. An employer may use another permitted rate or policy.
This tool performs arithmetic only. It does not determine whether a trip is business, medical, charitable, moving, commuting or otherwise eligible; it also does not create a tax deduction, expense report or payment obligation. Keep the dates, purpose, route and supporting receipts required by the relevant policy.

Should commuting miles be reimbursed?
Eligibility depends on the employer, contract, agency and tax rules. Use the excluded-distance field only after confirming the applicable policy.
Are tolls and parking included in a mileage rate?
Policies differ. This calculator keeps them separate so they can be added only when separately eligible.
What if the advance is greater than the gross reimbursement?
The result becomes a negative amount due, shown as a potential overpayment. Confirm how the payer handles recovery or future offsets.
Can I calculate kilometers?
Yes. Select kilometers and enter a rate per kilometer. The optional fuel comparison changes to L/100 km and price per liter.
